Team Tab
The Team tab is used to identify the required roles and/or team members for a project. They are assigned to a project by phase. Although this data is not required, it is is useful to provide an additional viewpoint in analyzing the required work effort against the project budget. The team can be generated using the Team Builder tool. The team data can also be used as the basis of the labor budget on the Labor Budget tab when utilizing a bottom up approach to planning.
How to access this tab
Click the Team tab in the main Project Analyzer window.
Chart: Budget Detail
The total value of the pie chart represents all active fees on the Contract / Fees tab and shows how the total project fee breaks down to arrive at available labor. As assignments are populated in the grid, the chart is updated.
Tip: Resize the chart to improve readability.
Section | Description |
---|---|
Staffing | Estimate of the amount of staffing planned, including overhead, remaining from today through the end of the plan. The amount displayed is the sum total of the ETC Staffing column in the Team tab grid. See below for additional information on ETC Staffing |
Staffing Available | Calculated by subtracting non-reimbursable consultants and expenses, profit and any currently planned labor from the total active contract/fee amount. |
Target Profit | Calculated based on the system configuration setting for target profit and the percent defined on the Contract / Fees tab. This can be gross or net profit depending on the configuration of the company's database. |
Consultants | Cost of non-reimbursable consultants. |
Expenses | Cost of non-reimbursable expenses. |
JTD Labor | Calculated using actual timesheet postings from the accounting system with the Project Analyzer overhead multiplier applied. |
Staffing Over Staffed |
Appears when the total staffing assigned exceeds the available budget. Shown as a piece of the Budget Detail chart pulled out from the rest of the chart. This may not show at the beginning of a plan, but may appear during project progression if JTD increases at a greater rate than what was originally planned, causing all the pieces of the pie to no longer fit within the budget. |
Chart: Team by Experience Level
The box chart is used to represent the team mix based on relative commitment to the project and relative experience level. The chart is grouped by discipline.
- Commitment level. The larger the box, the greater the amount of time the employee is assigned to the project.
- Experience level. The darker the box, the more experienced the employee. Employee experience is calculated based on hire date and years of experience data entered in the accounting system.
Column | Description |
---|---|
Delete | Place a mark in the check-box to mark a row for deletion. All rows marked to be deleted are permanently removed once the current tab is saved. |
Details | Provides access to the Detailed Staffing dialog box to enable project managers to assign an employee to a project and to plot out their time per week on the project phase. Once staffing details are set for an employee, the icon appears in the Details column. |
Phase | The name of the phase for which the project manager wants to make a team assignment. Select the value from the drop-down list. |
Team Role | The team role required on the project for the selected phase. Select the value from the drop-down list. Team role values are created by an administrator on the Team Roles tab in System Configuration. |
Start | End | The start and end date of the team assignment. The start and end dates of the selected phase are populated by default with the values entered for the phase on the Schedule tab. Project managers have the ability to update the values to match the time required for the specific team assignment. |
Employee | The employee assigned to the specific team assignment. This list
is populated with values from the accounting system active employees. If
using filter by role, the drop-down will only include employees assigned
the selected role as their default role during configuration. The entry can be left blank to represent a generic
assignment. The employee list is populated directly from the accounting system and is configured for additional Project Analyzer functionality on the Employees tab in System Configuration. |
Unit Hours | Hours Per |
Together, these two columns define the level of commitment required for the specific team assignment. Unit Hours. The number of hours assigned per unit of time, as defined in the Hours Per column. Hours Per. The unit of time selected for the specific team assignment. Options include:
This will be applied against the start and end dates to calculate total hours required. |
Hours |
The total number of hours required to complete the specific team assignment. The value is calculated based on the defined Unit Hours, Hours Per value, and Start and End dates for the specific team assignment. The project manager can also enter a value manually. When the project manager enters the value manually, the Unit Hours, Total Cost and ETC Staffing values are recalculated automatically. |
Total Cost |
The total labor cost for the team assignment. This value is calculated by multiplying the Hours column value by the labor rate (role rate, discipline rate, employee cost rate or employee pay rate with the Project Analyzer overhead multiplier) as set in System Configuration. The source of the labor rate is configured on the General Settings tab in System Configuration and one of the following labor rate options is selected: discipline, team roles or a value from the Employees tab. |
ETC Staffing |
This value represents the amount of planned labor dollars remaining for the project. When detailed staffing is assigned, ETC (Estimated to Complete) Staffing is calculated using the detailed work plan data, instead of assuming an even distribution of hours over the weeks of the assignment. For example, if an assignment spans five weeks but has 90% of its hours in the last two weeks, the ETC Staffing is 90% of the total cost. The sum of the ETC Staffing column is represented in the Budget Detailchart as Staffing. For more information on how Staffing ETC is calculated, please refer to ETC Definition. If the ETC Staffing exceeds the available staffing, the amount of ETC Staffing that exceeds the available budget is represented in the Budget Detail chart as Staffing Over Staffed. The total of the Staffing and Staffing Over Staffed pieces of the pie chart equal the ETC Staffing column total. |
Status | The status of the specific team assignment - Past, Current or Future. The value is determined by the Start and End dates for the assignment. |
Potential Conflicts | Indicates potential conflicts between the current assignment and other overlapping project assignments (on any active project) for the selected employee. Potential conflicts are identified when an employee is assigned to any other plan during the time frame identified on the current plan. Click Show Assignment Conflicts in the Team section of the ribbon bar to view conflict details. Refer to Show Assignment Conflicts for more information. |
Additional Columns
The field chooser contains additional columns that may be added to the grid. For the Team tab these include:
- Discipline The discipline of the role selected in the data grid.
- Discipline Rate The labor rate assigned to the discipline in Project Analyzer.
- Phase End | Phase Start The start and end dates for the selected phase from the Schedule tab. These dates may differ from the specific team assignment start and end dates.
- Team Role Rate. The hourly rate assigned to the specific team role. This value can differ from the Discipline Rate.
- Edit By | Edit Date. The name of the user that last made changes to the record and the date the changes were made.
- Employee Rate. The hourly rate assigned to the specific employee. This value can differ from the Team Role Rate.
- ETC Hours. The ETC (estimated to complete) hours remaining for the specific team assignment based upon today's date in relation to the end date for the line item. When detailed staffing is assigned, ETC Hours is calculated using the detailed work plan data, instead of assuming an even distribution of hours over the weeks of the assignment. For example, if an assignment spans five weeks but has 90% of its hours in the last two weeks, the ETC Hours value is 90% of the total hours.
- Experience. The individual employee’s number of years of experience. Employee experience is calculated based on hire date and prior years with other firms as entered in the accounting system.
- Notes. Enter additional information for each team member assignment in the Notes column.
- Or Similar. This column can be used to indicate that the specific employee selected is not required and that an alternate person with similar skills to the person identified is acceptable. This can be helpful when resolving assignment conflicts.
